DISTRICT 5 JOINT TROPHY RULES
GENERAL RULES
1. With the exception of the Attendance, Bulletin, Expansion, History Book, Public Relations and District Zone Trophy, the Kin year referred to in all District Trophy Rules, shall be one year period to April 15th of the current year unless otherwise stated in the individual Trophy Rules.
2. The District 5 Governors and/or appointed judges will ensure that all necessary submission forms be mailed out with the "Official Call" to Convention letter or in sufficient time to comply with the April 30th deadline. The District Trophy Director shall be charged with the responsibility of coordination and selection of judges and presentation at the District Convention.
3. The judges decision shall be final.
4. The winners of District Trophy banners shall return the banner in its banner case by 9:00 pm on the Friday of the next District Convention. In the event a banner is not returned for whatever reason, the cost of replacement will be borne by the Club who was responsible for the return. The penalty for not returning a banner prior to District Convention will result in a five dollars ($5.00) fine at that District Convention.
5. In the instance where there is no distinction for separate Junior or Senior Club Trophy Awards [eg. Service Award and Club of the Year] judges will give due consideration on a ratio basis, to the number of members achieving the goals as laid out in the individual trophy rules.
6. Where a trophy specifies "Senior", that indicates Clubs vying for the trophy must be a senior club according to the National Constitution & Bylaws. Where a trophy specifies "Junior", that indicates the Club must be considered a junior club according to the National Constitution & Bylaws. These membership figures are as of February 28th National Stats of the year in which the trophies are to be judged, with the exception of the Bulletin Award, which uses the October 31st National Status. All entries must indicate whether Junior or Senior Club.
7. In respect to affecting changes to the District Trophy Rules, a committee has been established consisting of the District Governors or his designate as chairperson, and the Deputy Governors or their delegates as committee members. The said committee is empowered to accept submission for revision from their respective Zone meetings, and the Deputy Governors meeting, to any of the trophy rules and to effect any or all changes required. The Trophy Rules as amended will be announced on the floor of convention or F.L.C. and then circulated to all Clubs. Any District Five Kinsmen/Kinette or District Executive Committee wishing to introduce a District Trophy or Award shall submit it in writing to the District Executive Council for consideration at the next District Executive Council meeting. Where applicable, it shall be placed on the agenda for consideration at the District Convention, and if passed, shall become effective at the beginning of the new Kin year.
8. All Trophies which parallel National have been made consistent with National Trophy Rules and when National Trophy Rules change, District Trophy Rules will automatically be changed to comply.
9. Honorary Kinsmen/Kinettes: a) Hours and contributions by Honorary Kinsmen/Kinettes may be counted, except for those trophies that exclude Honorary members [eg. Curling, Expansion, Attendance or Public Speaking] b) Where percentages are required, the honorary member that participates in that project must be included in the total membership [eg. ten (10) Kinsmen plus one (1) Honorary = total count eleven (11), if the Honorary member participates]
10. The District 5 Trophy Director is to update all trophy rules prior to the Fall Leadership Conference and circulate any changes immediately following Fall Leadership Conference, but no later than November 1st of the current Kin year.
11. All Clubs are responsible for picking up their trophy submissions and adjudication sheets from the District Trophy Director on the last evening of District Convention. Any submissions and adjudication sheets not claimed by the appropriate Clubs, will be forwarded to the Deputy Governor within thirty (30) days after District Convention. It will then be the Deputy Governor's duty to ensure that Clubs receive their trophy submissions and adjudications.
12. ELIGIBILITY: a) Individual eligibility - Entrants must be Active, Privileged or Active Life members, in good standing with their Clubs, District & National, as of the date of submission of the award. Honorary members are not allowed to participate in the Quill or Public Speaking Awards. b) Club eligibility - A Club must be in good standing within the District and the Association as of the date of submission of the Award (April 30th).

14. All trophy submissions must be sent to the District Trophy Director, postmarked no later than April 30th, including pre-submission forms. Clubs failing to send three (3) copies where required will be automatically disqualified.
15. District Council is responsible for purchasing the bar crests from Kin Sales or engraved name plates for the District Banner. It should be done immediately following the District Convention or Fall Leadership Conference that the banner was won. The crests for banners won at Convention will be handed out at FLC. Crests for Expansion banners will be given with the banner at FLC. Clubs are responsible for attaching the crest to the banner. Any Club that returns the banner the following year without their bar crest or engraved name plate will be liable for a fine of $5.00 per award at convention. (Revised 5/00)
16. Kinsmen & Kin Clubs must submit for Kinsmen Trophies, Kinette Clubs submit for Kinette Trophies. Each will be awarded the same. Kinettes that belong to Kin Clubs may submit for the following trophies: Kinette Joke-Off, Quill and Public Speaking
